One calendar for activities and rooms

· By Team Kayaplex

In many community centers, the schedule lives in several places at once. Room bookings are in a spreadsheet, the regular groups in a notebook at the front desk and the activities on the website. As long as one person keeps track of everything, it works reasonably well. But as soon as someone is ill or on holiday, things start to slip.

Where it goes wrong

  • Two groups expecting the same room at the same time
  • An activity that stopped weeks ago but is still on the website
  • Volunteers having to call to ask where their group is meeting today

One source of truth

The solution is simple: plan activities and rooms in one system. Whoever schedules an activity immediately sees which room is free. And whatever is in the schedule automatically appears in the calendar on the website.

That way, there’s no longer a gap between what’s planned internally and what visitors see online.

Recurring groups and one-off events

A community center has both regular groups that meet every week and one-off events. A good calendar handles both, and shows visitors in a single overview what’s on today, this week or this month.

That saves the front desk phone calls, and gives residents a clear picture of everything the center has to offer.
